2. What KaraokeMate is
KaraokeMate is a karaoke service for venues. Venues (bars, clubs, event organisers) use our admin console to manage their song catalogue and their karaoke nights. Their guests use a web page on their phones to pick songs and to vote. The lyrics and videos are shown on a screen in the venue: a browser window or a TV app ("KaraokeMate TV").
There are no advertisements, no tracking, no analytics and no third-party cookies in KaraokeMate, and we do not sell or rent any data.
3. This website
When you visit karaokemate.net, our web server records technical access data: your IP address, date and time, the page or file requested, the response status, the referring page and your browser's user agent. We need this to deliver the pages and to detect and defend against attacks and misuse. Legal basis: Art. 6(1)(f) GDPR (our legitimate interest in a secure, working service). These log files are deleted automatically after 14 days and are not combined with other data.
The website uses no cookies of its own. Fonts and images are served from our own server; no content is loaded from third parties.
If you write to us by e-mail or call us, we use your details only to answer you. Legal basis: Art. 6(1)(b) GDPR where your request concerns a contract, otherwise Art. 6(1)(f) GDPR. We delete the correspondence once it is no longer needed, unless we are required to keep it by law.
4. Venue and staff accounts (admin console)
There is no public sign-up. Accounts for venue administrators and operators are created by us or by a venue's administrator. For each account we store the e-mail address, a password hash (Argon2id; we never store the password itself), the role, the venue it belongs to, the preferred console language and the creation date.
For each venue we store its name, its address in our system (the "slug"), its time zone, its settings and design (logo, pictures, colours, lyric style), its plan, and usage and credit records for billing. Songs a venue uploads (audio or video files, lyrics, cover art) are stored for that venue and are visible only to it, unless the venue agrees to share them in a shared catalogue.
Signing in sets the cookie "km_session", which keeps you logged in. It is valid for at most 12 hours at a time and is deleted when you close the browser or log out. To protect against password guessing, the number of sign-in attempts per IP address is limited; these counters are kept in memory only, and the IP address of a blocked attempt is written to our server log.
Important changes (for example deleting a song, a singer's results or an account) are recorded in an audit log with the acting account's e-mail address, so that a venue can see who changed what.
Legal basis: Art. 6(1)(b) GDPR (providing the service to the venue under our contract), and Art. 6(1)(f) GDPR for security and the audit log. Account data are kept for as long as the account or the venue exists. Records needed for invoicing are kept as long as commercial and tax law requires (up to 10 years).
5. Guests at a karaoke night
Guests do not create an account. When you open a venue's guest page (karaokemate.net/v/…), your browser receives the cookie "km_guest_…", a random identifier that lets you request songs, see your place in the queue, keep your singer name and vote once per performance. We store only a hash of it, together with the time of your last visit. The cookie lasts one year and is renewed on each visit.
When you request a song, we store the singer name you enter, the song, the key you chose and the time. When you vote, we store your rating of the performance. A venue may also ask for a passphrase for the night; we note that you entered it.
Please note: the singer name you enter is shown publicly. It appears on the venue's screen when it is your turn and as "next up", in the waiting list and in the night's ranking on the venue's guest page, which anyone with the link can open. You do not have to use your real name; a nickname works just as well.
Legal basis: Art. 6(1)(b) GDPR (you use the service to take part in the karaoke night) and Art. 6(1)(f) GDPR (the venue's and our interest in running the night and its ranking). Song requests, performances, votes and singer names stay stored until the venue deletes them (a single performance, all results of one singer name, a whole night, or the whole ranking) or the venue's account is closed. If you want your singer name and results removed, ask the venue or write to us.
Your phone keeps one setting in its local storage (which lyric text you prefer to see). It never leaves your device.
6. Screens and the TV app (KaraokeMate TV)
A TV or browser window becomes a venue's screen after a venue administrator pairs it with a code. The screen then keeps a device credential in its local storage and in the cookie "km_display" (valid for one year); we store only a hash of it. For each paired screen we store the name the venue gave it, when it was paired and by whom, when it was last online, its browser identification (user agent) and a compatibility result.
To help venues and us find playback problems, a screen also sends technical diagnostics, at most once a minute: number of processor cores and memory class reported by the browser, screen size, audio and video measurements, frame timings, image loading times, error messages and the last playback commands. These contain no information about the people in the room.
The TV apps for Android TV, Google TV, Amazon Fire TV, LG webOS and Samsung Tizen only open this screen page. The apps themselves collect nothing; on Android they need only the permission to access the internet.
Legal basis: Art. 6(1)(b) GDPR (providing the screen to the venue) and Art. 6(1)(f) GDPR (fault finding). The data are kept until the venue removes the screen or closes its account. Removing a screen in the console cuts it off at once.
7. Cookies and local storage
KaraokeMate sets only these three cookies, all of them strictly necessary for the service you asked for (Section 25(2) TDDDG), which is why we do not ask for consent:
"km_session": staff sign-in, browser session, at most 12 hours;
"km_guest_…": guest identity at one venue, 1 year;
"km_display": paired screen, 1 year.
The console, the screen page and the guest page also keep settings in your browser's local storage (for example the console language, the chosen venue, the editor layout, unsaved lyric edits, the screen's audio output and window position). These stay on your device.
8. Who processes data for us
Hosting: our servers are currently operated by STRATO GmbH, Otto-Ostrowski-Straße 7, 10249 Berlin, Germany, in data centres in Germany. All data described above are stored there. When we move to another hosting provider, we will name it here before the move.
GPU processing: to separate vocals from music, to time lyrics to the singing and to render videos, we send the audio or video files of songs, their lyrics and, for videos, the venue's design (logo, pictures, lyric style) to RunPod (RunPod Inc., USA), which runs this computation on our behalf. No data about guests, singers or accounts are sent. The transfer to the USA is based on a data processing agreement with the EU Standard Contractual Clauses (Art. 46(2)(c) GDPR).
We use no other service providers for processing personal data: no e-mail service, no payment provider, no analytics, no advertising networks. We disclose data to public authorities only where we are legally obliged to.
9. Deleting your data and closing an account
Venue administrators can delete staff accounts, songs, screens, single performances, all results of a singer name, whole nights and the ranking in the console. An account cannot delete itself, and a venue's account is closed by us: to close your venue's account or to have your staff account deleted, write to contact@karaokemate.net from the e-mail address of the account. We then delete the venue with its accounts, songs, screens, guests, requests, performances and votes. We keep only what the law requires us to keep (invoicing records) and the audit log entries of past changes.
Guests who want their singer name and results removed can ask the venue or write to us at contact@karaokemate.net, naming the venue, the night and the singer name used.
10. Your rights
You have the right to access your data (Art. 15 GDPR), to have it corrected (Art. 16), deleted (Art. 17) or its processing restricted (Art. 18), to receive it in a portable format (Art. 20) and to object to processing based on our legitimate interests (Art. 21). To exercise these rights, write to contact@karaokemate.net.
You also have the right to lodge a complaint with a data protection supervisory authority. The authority responsible for us is the Bavarian Data Protection Authority (Bayerisches Landesamt für Datenschutzaufsicht, Promenade 18, 91522 Ansbach, Germany).
11. Children
KaraokeMate is a service for venues and their guests. It is not directed at children, and we do not knowingly collect data from children under 16.
12. Security and changes
All connections to karaokemate.net are encrypted (HTTPS). Passwords and device credentials are stored only as hashes, and song media are stored encrypted for streaming. We update this policy when KaraokeMate changes; the date at the top shows the current version.
